This Privacy Policy explains how MDX Logistics LLC, doing business as MAT Dispatch ("MAT Dispatch," "we," "us") collects, uses, shares and protects personal information when you visit www.matdispatchllc.com, submit a lead or application form, call or text our dispatch team, or use our dispatch, compliance and training services.
By using the website or our services you agree to the practices described here. If you do not agree, please do not use the site or submit information to us.
2. Information we collect
We only collect what we need to quote, dispatch and support your trucking operation.
- Contact details you provide: name, phone number, email address, company name and preferred contact time.
- Operating details: equipment type, MC/DOT number, authority age, home base, preferred lanes, insurance and factoring status.
- Documents you upload: W-9, certificate of insurance, MC certificate, carrier packet, and resumes or cover letters for job applications.
- Service records: loads booked, rate confirmations, broker communications, invoices and support tickets.
- Technical data: IP address, browser and device type, referring page, pages viewed and approximate location derived from IP.
- Communications: call notes, SMS, WhatsApp and email threads with our dispatchers and support staff.
3. How we collect information
Directly from you through website forms, the call-back popup, phone calls, SMS, email and onboarding paperwork.
Automatically through cookies and similar technologies when you browse the site.
From third parties such as load boards, factoring companies, brokers, insurance agents and the FMCSA public database, where relevant to dispatching your truck.
4. How we use your information
We use personal information to:
- Respond to quote requests and set up your dispatch account.
- Search, negotiate and book loads on your behalf and send rate confirmations.
- Prepare and submit carrier packets, invoices and compliance documents.
- Provide safety, DOT compliance, IFTA and company-formation support.
- Process job applications and training enrollments.
- Send service updates, load alerts and, where permitted, marketing messages you can opt out of at any time.
- Detect fraud, enforce our agreements, and meet legal, tax and insurance obligations.
5. Legal bases for processing
Where required by law, we rely on: performance of a contract (dispatch services you request), our legitimate interests (running and improving the business, preventing fraud), your consent (marketing messages and non-essential cookies), and compliance with legal obligations (tax, transportation and employment records).
7. Calls, SMS and recording
When you give us your phone number you agree that MDX Logistics LLC, doing business as MAT Dispatch, may call or text you about load opportunities, documents and account matters. Message frequency varies. Message and data rates may apply. Reply HELP for help or STOP to opt out of texts, or UNSUBSCRIBE in any email. Opting out of marketing does not stop operational messages about active loads.
Calls with our dispatch desk may be recorded for quality, training and dispute resolution where permitted by law.
9. How long we keep information
Lead and enquiry records are kept for up to 24 months from the last contact. Active carrier files, rate confirmations and invoices are kept for at least 7 years to meet tax and transportation record requirements. Job applications are kept for 12 months unless you ask us to delete them sooner.
10. Security
The website is served over HTTPS, uploaded documents are stored outside the public web root, and access is limited to staff who need it. No system is perfectly secure, so please do not send full bank details or Social Security numbers through website forms — our dispatchers will provide a secure channel when those are required.
11. Your privacy rights
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to opt out of marketing, and to appeal a decision we make about your request. To exercise any right, email info@matdispatchllc.com with the subject "Privacy Request". We will verify your identity and respond within the time frame required by applicable law, normally within 45 days.
We will not discriminate against you for exercising your privacy rights.
12. Children's privacy
Our services are intended for commercial drivers and business owners. We do not knowingly collect information from anyone under 18. If you believe a minor has given us information, contact us and we will delete it.
13. Third-party links
Our site links to load boards, factoring partners, insurance providers and government resources. Those sites have their own privacy policies and we are not responsible for their practices.
14. Changes to this policy
We may update this policy as our services or the law change. The revision date at the top of the page always reflects the current version, and material changes will be highlighted on this page.
