1. Scope of this policy

This Privacy Policy explains how MDX Logistics LLC, doing business as MAT Dispatch ("MAT Dispatch," "we," "us") collects, uses, shares and protects personal information when you visit www.matdispatchllc.com, submit a lead or application form, call or text our dispatch team, or use our dispatch, compliance and training services.

By using the website or our services you agree to the practices described here. If you do not agree, please do not use the site or submit information to us.

2. Information we collect

We only collect what we need to quote, dispatch and support your trucking operation.

• Contact details you provide: name, phone number, email address, company name and preferred contact time.
• Operating details: equipment type, MC/DOT number, authority age, home base, preferred lanes, insurance and factoring status.
• Documents you upload: W-9, certificate of insurance, MC certificate, carrier packet, and resumes or cover letters for job applications.
• Service records: loads booked, rate confirmations, broker communications, invoices and support tickets.
• Technical data: IP address, browser and device type, referring page, pages viewed and approximate location derived from IP.
• Communications: call notes, SMS, WhatsApp and email threads with our dispatchers and support staff.

3. How we collect information

Directly from you through website forms, the call-back popup, phone calls, SMS, email and onboarding paperwork.

Automatically through cookies and similar technologies when you browse the site.

From third parties such as load boards, factoring companies, brokers, insurance agents and the FMCSA public database, where relevant to dispatching your truck.

4. How we use your information

We use personal information to:

• Respond to quote requests and set up your dispatch account.
• Search, negotiate and book loads on your behalf and send rate confirmations.
• Prepare and submit carrier packets, invoices and compliance documents.
• Provide safety, DOT compliance, IFTA and company-formation support.
• Process job applications and training enrollments.
• Send service updates, load alerts and, where permitted, marketing messages you can opt out of at any time.
• Detect fraud, enforce our agreements, and meet legal, tax and insurance obligations.

5. Legal bases for processing

Where required by law, we rely on: performance of a contract (dispatch services you request), our legitimate interests (running and improving the business, preventing fraud), your consent (marketing messages and non-essential cookies), and compliance with legal obligations (tax, transportation and employment records).

6. When we share information

We do not sell your personal information. We share it only with parties that help us dispatch your truck or run the business:

Text messaging originator opt-in data and consent will not be shared with any third parties for marketing or promotional purposes. All other categories of information sharing described in this policy exclude mobile opt-in data and consent.

• Brokers and shippers, to negotiate and confirm loads in your name.
• Factoring companies and accounting providers, when you ask us to submit invoices.
• Insurance agents and compliance vendors, for certificates, filings and audits.
• Technology providers that host our website, CRM, email, phone and document storage.
• Professional advisors, and law enforcement or regulators where legally required.

7. Calls, SMS and recording

Providing your phone number does not by itself constitute consent to receive SMS messages. SMS consent is optional and is never a condition of purchasing services.

MAT Dispatch LLC (a DBA of MDX Logistics LLC) sends text messages from two numbers: our main company number, (678) 605-9031, for customer care, conversations with carriers who contact us, sending and receiving carrier documents and, only for carriers who separately opt in to marketing, promotional messages about our services; and our dispatch line, (678) 719-4085, which our dispatchers use to communicate one-to-one with carriers enrolled in our dispatch services (location and availability, load options, booking confirmations and load documents).

You may opt in by checking the separate, unchecked SMS consent box(es) on our website forms, by texting our main number (678) 605-9031, or, for carriers enrolled in our dispatch services, by giving verbal consent by phone. If you consent to receive SMS from MAT Dispatch LLC, you agree to receive the types of messages described at the time of opt-in. Text messaging originator opt-in data and consent, including mobile phone numbers collected for SMS, will not be shared with or sold to any third parties or affiliates for marketing or promotional purposes.

Calls with our dispatch desk may be recorded for quality, training and dispute resolution where permitted by law.

8. Cookies and analytics

We use strictly necessary cookies to keep the site working, plus analytics cookies to understand which pages and truck types drive enquiries. You can block or delete cookies in your browser settings; essential features such as form submission will still work, but some preferences may not be remembered.

9. How long we keep information

Lead and enquiry records are kept for up to 24 months from the last contact. Active carrier files, rate confirmations and invoices are kept for at least 7 years to meet tax and transportation record requirements. Job applications are kept for 12 months unless you ask us to delete them sooner.

10. Security

The website is served over HTTPS, uploaded documents are stored outside the public web root, and access is limited to staff who need it. No system is perfectly secure, so please do not send full bank details or Social Security numbers through website forms — our dispatchers will provide a secure channel when those are required.

11. Your privacy rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to opt out of marketing, and to appeal a decision we make about your request. To exercise any right, email info@matdispatchllc.com with the subject "Privacy Request". We will verify your identity and respond within the time frame required by applicable law, normally within 45 days.

We will not discriminate against you for exercising your privacy rights.

12. Children's privacy

Our services are intended for commercial drivers and business owners. We do not knowingly collect information from anyone under 18. If you believe a minor has given us information, contact us and we will delete it.

13. Third-party links

Our site links to load boards, factoring partners, insurance providers and government resources. Those sites have their own privacy policies and we are not responsible for their practices.

14. Changes to this policy

We may update this policy as our services or the law change. The revision date at the top of the page always reflects the current version, and material changes will be highlighted on this page.
